Our client a top offshore law firm in George Town is seeking an experienced Litigation Legal Secretary for a permanent, full time position. The secretary must be Caymanian/status/PR holder.

Responsibilities:

  • Contributes to and supports all aspects of the practice of the fee earner to whom he/she is assigned.
  • Liaises with local and international clients and other contacts; including the Courts Office and Judges’ secretaries
  • Prepares court bundles, including case retrieval, photocopying, organising and indexing
  • Transcribes (from manuscript and tape) correspondence, documents and a variety of legal documents
  • May be required to initiate and answer routine correspondence on behalf of the Attorney such as engagement letters
  • Receives telephone calls on behalf of attorney in his/her absence and takes complete and accurate messages
  • Inputs Attorney’s time records on a daily basis, if required
  • Maintains contact details and records all business development related activities in InterAction on behalf of the Attorney in accordance with internal policies and procedures
  • Assists with the preparation of invoices and ensures accounts receivable are monitored and action taken to obtain payment
  • Greets and deals with inquiries from clients in the absence or unavailability of the Attorney
  • Maintains the calendars of Attorneys; coordinating appointments, meetings and conferences, including booking meeting rooms, creating schedules and timetables and any travel arrangements or reservations on behalf of the Attorney
  • Establishes and maintains professional files on behalf of the Attorney. Coordinates the conflict check to ensure the Associate’s ability to represent the requesting party
  • Assists in the collection of due diligence documents from clients under the direction of the Attorney
  • Establishes and maintain an effective file review system and ensure all client filing is complete and kept up to date
  • Assisting the Attorney in the day-to-day duties in supervising the firm, other members of his practice team (billing/chasing of invoices)
  • Where matters involve the attorney and the partner the secretary is also involved in assisting that attorney
  • May sometimes be required to assist in the on-the-job training of junior legal secretarial staff and act as guide to new secretarial employees
  • Assist other attorneys as required, particularly in the absence of their designated secretary
  • Overtime when required
  • Performs other related duties as required.

Requirements:

  • All applicants must have minimum of three (3) years previous experience as a legal secretary within a law firm environment and possess a proven ability to work on their own initiative
  • Completion of a certified secretarial course would be beneficial. However, any combination of education and experience, which provides the required knowledge and skills, may qualify
  • Knowledge of the FSD and Grand Court Rules and procedures is required
  • Proficient with Word and Excel, and possess fast and accurate capacity to input data from audio and written sources
  • Knowledge of AdEx accounting software and DMS document management software would be an asset
  • A working knowledge of Interaction and Concur is preferred
  • A high degree of accuracy combined with a keyboarding speed of at least 70wpm is preferable
